HR Coordinator Job Opening
FVAP is seeking a Human Resources Professional to join our dynamic team for a significant role in support of social justice. The ideal candidate will bring skills and passion to help our multi-state office with approximately 18 staff and 5-10 interns and volunteers run smoothly. About FVAP: Family Violence Appellate Project is the only organization in California and Washington State dedicated to empowering survivors of domestic violence and other forms of gender-based abuse with a second chance at justice by appealing court decisions on their behalf, for free. We are an 11-year old nonprofit organization whose mission is to ensure the safety and well-being of survivors and their children. Our attorneys appeal and overturn court decisions that put survivors and/or their children at risk of ongoing abuse. Essential Duties and Responsibilities: Duties include the following (other duties may be assigned):
Payroll and benefits administration (40%)
- Maintain and process payroll and benefits systems;
- Manage annual renewals and Open Enrollment for benefits, including review of current plans and vendors and lead new vendor and plan processes when necessary;
- Coordinate planning and implementation of leaves of absence, including parental, medical, disability, and other types of leave;
- Serve as point of contact with payroll and benefits providers, including insurance brokers;
- Innovate and lead customization, improvements or updates to payroll or other HR-related systems including planning, implementation and training;
- Proactively communicate with staff about HR deadlines, instructions, and procedural updates.
Employment administration & HR compliance (40%)
- Maintain complete and accurate employee records and staff/organizational certifications to ensure FVAP is in compliance with HR law, internal policies and best practices;
- Stay abreast of changes to Employment and HR-related law and recommend updates to HR policies and procedures to respond to new requirements that may arise;
- Lead compliance with nondiscrimination and harassment trainings as required by law;
- Maintain up-to-date materials for staff, including required notices;
- Support recruitment and hiring, including preparation of job descriptions, posting job announcements, organizing and reviewing applications and related communications to applicants, and supporting scheduling and materials for interviews and the hiring panel(s), and hiring process including contracts and pre-start date communications and administration;
- Coordinate onboarding process for new staff, and manage payroll and benefits enrollment;
- Coordinate offboarding process for departing staff, including performance of exit interviews, and manage payroll and benefits separation and any supportive paperwork;
- Prepare and conduct stay surveys or interviews on regular basis;
- Prepare analysis and presentation of stay and exit interviews and surveys, and support resulting changes within the organization;
- Maintain and update staff HR resources; provide training, instruction, and support to staff on HR policies and procedures;
- Support annual performance management for staff and supervisors, including maintaining schedules and documentation and supporting HRIS system use and innovation of processes;
- Support PIP or other employee processes including documentation, administration, support for supervisors, and other as needed;
- Lead reasonable accommodation process, including requests and implementation of accommodation.
People, Community and Operations Support (20%)
- Lead planning, coordination and support of staff socials, staff meetings, and staff and Board retreats;
- Support employee engagement, DEIAB initiatives, and culture;
- Support the organization’s Operations and Administration Team and functions as needed as a member of the Operations and Administrative Team.
Maintain confidentiality and respect for clients and employees. Comply with all agency policies and procedures.
Physical and Environmental Conditions: Performance of duties and tasks uses standard office equipment, including telephone equipment and computers. Occasional driving or other travel may be required. FVAP employees are eligible to work remote/hybrid schedules within the supervisor’s discretion and based on job and organizational duties and needs; this role is hybrid and is required to do in-person work or duties on a regular, weekly basis. This role is located in California, and applicants must live in or plan to move to the San Francisco Bay Area (California).
Schedule: This is a full-time position. Currently, FVAP full-time employees work 40 hours per week. FVAP plans to move to a 35 hour per week full-time schedule soon; annual salary will not be impacted by this change. Employees work five days-a-week, and the specific hours and schedule will be determined with the supervisor, likely to include core business hours.
Required Qualifications
- One to two years in a Human Resources, People Operations, or Payroll Administration role;
- Experience supporting or processing payroll;
- Experience working within HRIS or Payroll databases, including running reports;
- Experience with administering, reporting and tracking benefits including FMLA, PFL and SDI benefits, managing brokers/vendors and completing audits and other annual reporting requirements;
- Experience with standard office computer programs, preferably Google Suite, and comfort with databases;
- Comfort with technology and interest in leveraging technology for HR, administration and/or operations processes;
- Commitment to working in an environment that prioritizes anti-racism, equity, and inclusivity and is actively working to implement and strengthen these priorities;
- Commitment to working on behalf of survivors of domestic violence and their children, and other forms of gender-based violence, though no specific experience in the field of domestic violence work is required;
- Ability to prioritize multiple projects effectively, with a passion for organization and attention to detail; and,
- Ability to work independently and as part of a small, fast-paced Operations and Administrative team.
Preferred Qualifications
- Three or more years in Human Resources, People Operations, or Payroll Administration role;
- Experience in more than one category noted in the job duties above, for example, experience running payroll and providing employment law compliance trainings;
- Experience implementing or customizing payroll, benefits or HRIS systems backends;
- Experience in a nonprofit setting;
- Experience managing HR in multiple states; ideally including California or Washington;
- Diversity of personal and professional experience;
- Knowledge of, or experience in, legal aid or other legal environments;
- An understanding of or experience working in domestic violence and/or gender-based violence fields;
- Strong verbal and written communication skills.
Classification: The position is full-time, non-exempt, and at-will.
Compensation / Salary Range: Starting salary depends on relevant experience and will be commensurate with comparable nonprofit administrative positions in Northern California. The hourly pay range is expected to be $28.85-34.62, which gives this position an approximate annual salary range of $60,000-72,000.
